Employee Details window
Purpose
Use this window to enter demographic information about an employee. You will also use this window to establish the employee's wages, exemptions, hourly/salary status, password expiration information, and more.
To access this window
Complete one of the following to access this window.
- On the Admin menu, point to Employee Security and click Employee Details.
- Use the keyboard shortcut Alt, A, E, M.

Item descriptions
Item | Description |
---|---|
Look for Employee | Enter an employee name to look for. The grid automatically moves to matching employees as you type. |
Employee grid | Displays any employees set up in AIMsi with employee details. Click a name to populate the boxes on the right with information. |
Address |
Enter line one of the employee's address (typically the number and street address) in the first box. Enter line two of the employee's address (often a PO box) in the second box. Each address box accepts up to 25 characters. |
City | Enter the employee's city. |
St/Province | Enter the employee's state or province. |
Zip | Enter the employee's ZIP code. |
Country | Enter the employee's country. |
Enter the employee's email address. | |
Department |
Select the department to which the employee belongs. Departments are set up on the Maintain Departments window. |
Phone/Ext | Enter the employee's primary phone number and extension, if applicable. |
Cell Phone | Enter the employee's mobile phone number. |
Start Date | Enter the first date of employment for this employee. |
Wage |
Enter the employee's wage, if desired. If paid hourly, this is the employee's hourly rate. If salaried, this is the rate per pay period. This will display when you use payroll disbursement in General Ledger. |
Exemptions | Enter the number of exemptions the employee claims for taxes, if desired. This will display when you use payroll disbursement in General Ledger. |
SS# | Enter the employee's Social Security number. |
Item | Description |

3rd Party ID |
Enter any type of ID for this employee, such as an employee ID from a prior time clock system or an ID from the electronic keycard system you use. This ID is for reference only and is not tied to any outside software. |
Use Touchscreen Button Colors |
Select this check box if

Button Color Red/Green/Blue | Employees can be color-coded for open customer tabs when you use AIMsi's touchscreen functions. If you want to display open tabs for this employee as a specific color, enter the RGB value or click Get Color to select a predefined color. |
Required to be Clocked In | Select this check box to require the employee to clock in using the time clock before he or she can use other features in AIMsi. When this check box is selected a message displays to the logged in employee if he or she hasn't clocked in before attempting to start a point of sale transaction, service ticket, or other tasks in AIMsi. |
Options for payment status

Indicate if the employee is paid hourly or is salaried. |
Password details You must set system variable LoginSecurityType to 2 to use the following password controls for your employees. |

PW Expiry Days |
Enter a number of days after which the employee must create a new password. For example, if you enter 60 here, the employee must create a new password every 60 days. |
PW Last Changed |
Displays the date and time the employee's password was most recently changed. |
Locked Until |
If the password has become locked, such as from too many failed attempts to log in to AIMsi, this box displays the a date and time after which the employee can make an attempt to log in. |
Change Password on Next Logon |
Select this check box to require the employee to change his or her password the next time he or she logs in. |
Item | Description |

Save | Saves any changes you've made to the employee record. This button only displays if you've added or edited an employee. |
Cancel |
Cancels any changes you've made to the employee record. This button only displays if you've added or edited an employee. |
Delete | Deletes the employee record. |
Add | Creates a blank employee record where you can add details for a new employee. |
Exit | Closes the window. |
Pick | Displays a color window where you can select a predefined color or define a new one for touchscreen buttons. |
